Mind Nest Uganda is a non-profit organization committed to advancing mental health and wellbeing through professional, ethical, and impact-driven interventions. We are seeking a detail-oriented and proactive Finance & Administrative Officer to support our financial systems and administrative operations.
BASIC PURPOSE OF THE ROLE
The Finance & Administrative Officer will support financial management, accounting, reporting, and day-to-day administrative operations. The role ensures strong financial controls, organized administrative systems, compliance with policies, and efficient office coordination.
KEY DUTIES AND RESPONSIBILITIES
• Support budget preparation and expenditure monitoring.
• Prepare periodic financial reports and forecasts.
• Maintain accurate accounting records and bookkeeping systems.
• Process invoices and ensure timely payments to suppliers and staff.
• Perform bank reconciliations and manage petty cash.
• Support grant and donor fund tracking and reporting.
• Prepare documentation for audits and compliance reviews.
• Support statutory and regulatory financial filings.
• Perform light accounting and financial data entry tasks.
• Oversee daily office administration and logistics.
• Manage procurement, office supplies, and asset records.
• Maintain organized physical and digital filing systems.
• Support payroll processing and staff records management.
• Assist in recruitment coordination and HR documentation.
• Coordinate meetings, workshops, and organizational events.
• Implement and improve administrative systems and procedures.
• Ensure compliance with internal finance and admin policies.
• Support preparation of simple financial and administrative reports.
• Support both on-site and remote operations.
• Perform any other related duties assigned by management.

QUALIFICATIONS / SKILLS
• Bachelor’s degree or Diploma in Finance, Accounting, Business Administration, or related field.
• Minimum 2 years’ experience in finance and administrative roles.
• Experience working with NGOs or donor-funded projects is an added advantage.
• Knowledge in QuickBooks accounting software is an added advantage.
• Basic knowledge of accounting and financial reporting principles.
• Demonstrated skills in Graphic Designing (e.g., Canva, Adobe tools, or similar platforms).
REQUIRED SKILLS
• Bookkeeping and accounting skills.
• Administrative and office management skills.
• Budget tracking and financial reporting ability.
• Good computer skills (Excel, Word, accounting tools).
• Basic graphic designing skills.
• Strong organizational and record-keeping skills.
• Good communication and interpersonal skills.
• Ability to work independently with minimal supervision. (Proactive)
• High integrity and attention to detail.
