NFT Consults is hiring a Front Desk Officer to maintain a daily presence at the Clinic and is responsible for the following duties:
KEY DUTIES AND RESPONSIBILITIES
• Patient Reception
• Handles all incoming calls from patients regarding appointments and any other inquiries;
• Attends to all patients that come to the clinic during the day including emergencies, walk-ins and appointment patients;
• Ensures that Patients fill and sign all the necessary paperwork on arrival at the reception desk;
• Informs the treatment teams about the patients that have shown up for the appointments.
• Schedules/confirms, taking queue from the Chairsides the next appointment for the patients before they leave;
• Checks in insurance patients and records their dental covers before the doctor sees them.
• Follow up on patients seen the previous day through phone calls and sms and share feedback from the patients with the treating Doctors
• Patient Schedules
• Schedule appointments for patients via phone calls or sms, emails, and WhatsApp messages;
• Call/SMS/Whatsup patients to confirm upcoming appointments two days in advance;
• Calls 5 minutes before appointed time to ascertain whether the Patient will be on time for the scheduled appointment, informs the Doctor where a Patient is running late and or reschedule the appointment where necessary;
• To follow up on all cancelled and missed appointments, keep quick call lists, fill broken slots, and reschedule all cancelled appointments.
• Scheduling and coordinating the doctors’ schedule efficiently and efficiently, managing dentists’ time with the assistance of the chairside nurse and mitigating lengthy patient waiting times.
• Continuously updates changes to the schedule and coordinates patient flow.
• Recalls
• Make recall interactions through phone calls and messages reminding patients to come in for their six-month check-up and cleaning dental appointments and aiming at increasing productivity for the clinic in the long run.
• Patient Information
• Data entry- Updating patient records in the Open Dental management software with accurate and current information, including contact details including name, age address, phone number and medical history.
• Ensuring that patient information is kept confidential and secure.
• Support to the Financial Team
• Works with the financial team to conduct patient billings, ensure that all payments have been collected and address any billing discrepancies.
• Reports
• Daily Schedule; Printing and pinning up the daily schedule
• Daily Patient Flow Report Preparation of a daily report regarding patient flow to account for missed, cancelled, walk- in, emergency appointments rescheduled quick call list and patient concerns.
• Weekly Recall Lists; Preparation of recall lists of patients who are due for regular checkups or follow up appointments.

QUALIFICATIONS / SKILLS
• A Bachelor’s Degree in a relevant field
• 1-2 years of experience in the same role in a very similar environment
• Excellent interpersonal, verbal and written communication skills;
• Excellent customer service skills
• Outstanding organizational skills with a strong attention-to-detail;
• Self-starter with a proven ability to take initiative and be a problem solver;
• Team-oriented with strong integrity and professionalism.
