We are seeking a professional, friendly, and customer-focused Receptionist to serve as the first point of contact for our clients. The ideal candidate will be responsible for managing client appointments, providing excellent customer service, coordinating client flow, and ensuring a welcoming experience that reflects the clinic’s professional standards.

Key Responsibilities

• Welcome, register, and attend to clients professionally and warmly.
• Manage client appointments, confirmations, rescheduling, and follow-ups using the clinic appointment system.
• Handle phone calls, WhatsApp messages, emails, and walk-in inquiries promptly.
• Provide accurate information about clinic services, treatments, products, promotions, and pricing.
• Maintain accurate client records while ensuring confidentiality.
  Coordinate with Doctors, Nurses, Aestheticians, Cashiers, and other teams to ensure smooth client service delivery.
  Follow up with clients on appointments, treatment reviews, and missed visits.
  Handle client concerns professionally and escalate issues when necessary.
  Prepare daily reports on appointments, client attendance, cancellations, and related activities.

Key Requirements

• Bachelor’s Degree in Business Administration, Office Management, Customer Care, Hospitality, Marketing, or a related field
• Minimum of 1 year experience in reception, customer service, administration, healthcare, beauty, or hospitality environments.
• Excellent communication and interpersonal skills.
• Professional appearance with a positive and welcoming attitude.
• Strong organizational and multitasking abilities.
• Computer literacy, including Microsoft Office and appointment management systems.
• Ability to maintain confidentiality and handle sensitive client information.
• Fluent in English and Luganda.
• Ability to work flexible hours, including weekends and public holidays when required.
